Our terms
The agreement between your organisation and Veaivo, in plain words. Last updated 25 October 2026.
About these terms
These terms apply when your organisation takes a website, an AI assistant or languages from Veaivo. Together with the written quote you accept, they make up our agreement. If your quote and these terms ever disagree, your quote wins.
In these terms, “we” and “us” means Veaivo, and “you” means the organisation named on your quote.
What we provide
- A Growth website: we design and build your website around you, write the first words with you, and bring across your existing content, as described in your quote.
- A Presence website: we set up one of our ready-made designs in your colours, with your logo and words, with up to five pages and one contact form.
- With both: secure hosting, the editor, accessibility options, listening and search on every page, and your forms. Growth also includes a monthly health report.
- Extras, such as other languages, the AI assistant, training or article writing, are included only when your quote lists them.
Nothing goes live until you have checked it and said yes.
We aim to keep your website available at all times, but we cannot promise it will never be unavailable, for example during planned maintenance or a fault at a service we rely on. When something goes wrong, we will put it right as quickly as we reasonably can.
The AI assistant answers only from the pages and documents you choose. Like any assistant of its kind, it can sometimes be wrong, so it should not be relied on for urgent, medical, legal or safety advice.
Paying
- You pay a fixed fee every month, as set out in your quote. There is no fee for building your website.
- The first payment is taken when your website goes live, and then on the same date each month.
- We take payment by Direct Debit, or by card if you prefer.
- One-off work, such as training or bringing across extra content, is invoiced separately and is due within 14 days.
- If VAT applies, it will be shown clearly on your quote and on every invoice.
If a payment fails, we will tell you and try again. If it is still unpaid after 30 days, we may pause your website until it is paid, after giving you at least seven days’ warning.
Your monthly fee does not change during your first 12 months. After that, we may review it once a year, and we will give you at least two months’ notice of any change.
How long it lasts, and ending it
- The agreement starts when you accept your quote. The minimum term is 12 months from the day your website goes live.
- After the first 12 months, it carries on month by month until either of us ends it.
- From then on, you can end it at any time by giving one month’s notice. An email is enough.
- If you end it during the first 12 months, you pay the monthly fees for the rest of those 12 months.
- We can end it by giving you three months’ notice. We can also end it straight away if you seriously break these terms and do not put it right within 14 days of us asking.
When the agreement ends, we will send you a copy of your words, pictures, documents and form entries if you ask within 30 days. After that, we delete them. Your web address stays yours, and we will help you point it wherever you like.
Your content, and how the website is used
- Your words, pictures, logo and documents stay yours. You allow us to use them only to build, host and look after your website.
- You confirm that you have the right to use everything you give us, and that it is lawful.
- You agree not to use the website for anything illegal, harmful or misleading, or to send unwanted messages.
- You are responsible for keeping your editor logins safe, and for what your team publishes.
- The designs, the editor and the software behind them remain ours. You may use them for as long as the agreement lasts.
- We may show your website in our portfolio. If you would rather we did not, just tell us.
Personal information
When your visitors send you a form, we look after their details on your behalf, only so that your website can work. We keep them in a secure database in London, never sell them, and never use them for anything else. You are responsible for how you use the entries you receive, in line with data protection law.
If you would like a written data processing agreement, we will provide one.
The legal part
- Our total responsibility to you in any year is limited to the fees you paid us in that year.
- We are not responsible for lost profits, or for losses we could not reasonably have foreseen.
- Nothing in these terms limits responsibility for death or personal injury caused by negligence, for fraud, or for anything else the law does not allow us to limit.
- Neither of us is responsible for delays caused by things outside our reasonable control.
- We may update these terms. We will tell you at least a month before any change that affects you, and you can end the agreement without charge if you do not accept it.
- These terms are governed by the law of England and Wales.
If you have a question about these terms, send us a message and we will gladly explain.
